Everything is digital

The Tripleseat BEO is completely digital, like the rest of the cloud-based product. This means that any changes that need to be made to an original BEO can be quickly edited within Tripleseat. If a client requests a small or large switch to an item quantity, the event planner can easily edit that change and it will be updated in real-time for the client to see on the Tripleseat Guest Portal. Once you click Save on the changes, all the client has to do is refresh their page and the BEO is updated. The digital capabilities of the BEO and the fact that it is easily accessible to both planners and clients makes everything a whole lot easier than physically writing out new BEOs and adding them back to a long and confusing email string.

It may seem challenging to remember all the small details and notes that clients give you when you’re dealing with many events at one time. Luckily, there are sections to include internal notes when putting together an event BEO in Tripleseat. Leave a note for the chef in the Kitchen Notes section to remind them that there is a peanut allergy in this group. Remind the staff to only use the side door entrance into the room in the Staff Notes section, and that the room must be in a classroom-style setup in the Setup section. All of these notes will be saved for internal use only when creating the event BEO and can make the tiny details much easier to recall.

Billing organization

Tripleseat helps organize every step of the event management process, which of course includes the billing and payment process. The billing widget will be at the bottom of every BEO upon creation and tallies up every total throughout the BEO in an organized manner. The billing section shows the total cost to the client by each category, such as food, beverage, audio-visual, and room rental, for example. The service charge and state sales tax are added in and can be adjusted as needed with the billing widget in Tripleseat. This makes for a clear and concise BEO for the client to read and understand exactly where all costs can be found. All of this information is also helpful when looking back on event reporting in the Tripleseat reports section.
